Front page and menus

On Menus you decide what requesters can find, and where. A menu sits in the portal's top bar, such as IT, HR or Access, and has a page of its own. Each menu has sections, such as Devices or Accounts and access, and in each section you pick what goes there:

WhatWhat it is
FormA form from Platform → Forms whose cases go to the portal's unit or a unit below it. Picking one that isn't on the portal yet puts it on.
Request itemA catalog item from Request Management that is turned on for the portal. Signed-in contacts with an account request it for their company. See Products and catalog items.
PageA page a plugin adds to the portal, like Service status.
Web linkAny https address, with a title, such as an employee handbook. It opens in a new tab.

The same form or request item can be in several sections and several menus, so a new laptop can be under both IT → Devices and HR → New starters. Taking it out of one section leaves it in the others.

The tabs at the top list the menus, with how much is in each, and Add menu adds one: a Name and optional Description per language, and an Icon. The menu's … has Edit menu, Move left, Move right and Delete menu. Add section adds a section to the menu shown, with a Title, optional Description and Icon; its … has Edit section, Move up, Move down, Move to another menu and Delete section.

Add on a section opens a list of forms, request items, pages and a web link. It marks what is already in that section and where else something is. New form creates a form, puts it in the section, and opens it in Platform → Forms so you can build its questions.

Each row in a section shows its title, what it is, and for a form how many fields it has and where its cases go. The arrows change the order. Its … menu has:

Menu itemWhat it does
Title and icon hereIts own title, description and icon in this section only. Empty uses those of the form or request item.
Edit formOpens the form in Platform → Forms.
Edit in Request ManagementOpens the catalog items.
Move toMoves it to another section, in this menu or another one.
Take out of this sectionRemoves it from this section. A form stays on the portal and in other sections.

A row marked Not shown points to something requesters can't see any more: a request item made inactive or staff only, a form taken off the portal, or a page whose plugin is off. It comes back when that changes.

Deleting a menu or section deletes what is in it, but not the forms or request items themselves.

Not in a menu lists forms that are on the portal but in no menu. Requesters reach them only by their address. Add them to a section, or take them off the portal with ×.

[!NOTE] Sections with nothing shown, and menus with no such sections, don't appear on the portal.

What requesters see

  • The top bar: each menu opens a panel with its sections and what is in them, and Everything in the menu leads to its page. On a phone the menus fold into one Menu button.
  • A menu's page lists its sections, with a list of them on the side to jump to one.
  • A form's page has crumbs back to the front page and to the first menu it is in. Next to the form, the portal shows What happens next: they get a reference number, the reply comes by email, and the link in the email follows the request.
  • A request item's page says what it is, asks a signed-in contact for what the item needs, and is sent with Send request. They see "Your request REQ-12 is sent" and a link to follow it. Visitors who aren't signed in are asked to sign in first.

What a form asks, its title and icon on portals, the unit its cases go to, their priority, labels and assignee are set on the form, under Forms. The form asks for a name and an email address first, unless the contact is signed in. With Service Configuration on, a Service field lets a signed-in contact pick the service the request is about.

Front page

On Front page you choose what requesters see first. Under Header, per language:

SettingWhat it is
HeadlineThe large title. Without one, the portal says "How can we help?", or "What do you need?" when it has no menus, in the visitor's language.
Welcome textA line or two under the headline.
Search boxSearches everything in the menus by title and description, and shows which menu and section each result is in. It shows once there are more than three things to find.

English is used for any language you leave empty, so write English first. A dot on a language tab means it has text. The portal shows the visitor's browser language if it's one of the four, and English otherwise; a link with ?locale=no (or en, sv, da) picks one.

Under the header lists the blocks of the page. Turn each one on or off, and use the arrows to put them in the order requesters see them:

BlockWhat it showsAt first
Notice bannerA message per language, for planned maintenance or holiday hours. Clear it to remove the banner. On
PopularUp to six forms or request items you tick, first, so the common requests are one click away.Off
MenusShow as A tile per menu shows one tile per menu with its sections named, which opens the menu's page. Menus with their sections lists each menu with its sections and what is in them. With more than one menu, Every menu, or turn it off and tick the ones to show. Without menus, the block lists everything on the portal under What do you need?.On
My requestsA signed-in requester's five latest requests, with See all. Others get a sign-in link.Off
Plugin pagesThe pages plugins add, like Service status and Your services, as tiles. They are in the portal's top bar either way.Off

A menu you leave off the front page is still in the top bar and has its own page, and what is in it is still found by search.
